FlightStratix · Operational documents

Aviation Document Management Software

Keep the document beside the operation it belongs to.

Link aircraft, crew, client, trip, service and finance files to their relevant records. FlightStratix supports document uploads, previews, tags and operational document generation, so teams can find the right information without rebuilding it from email attachments.

The challenge

The right document should be easy to identify

A licence should stay with the crew member. A handling confirmation should stay with the trip. A fuel ticket should stay with the visit. Organise documents around operating context instead of a single unsorted shared drive.

Capabilities

Built around the way you work

Each capability is part of the connected FlightStratix workspace.

Record-linked files

Attach and view relevant files within aircraft, crew, passenger, vendor, trip, FBO visit and other supported product records.

Tags and document scopes

Use categories and scope filters to find entity, trip, service or financial documents, subject to product entitlements.

Generate operational PDFs

Prepare documented outputs such as flight briefs, GENDEC, passenger manifests, handling requests, fuel releases and selected compliance/roster reports from available data.

Access and history

Use module permissions and available document version/re-generation actions to keep operational access and file context clear.

How it works in detail

Linked aviation documents, expiry context and generated PDFs

Documents should sit beside the aircraft, crew, trip or financial record they explain.

Organise by operating entity

Use the consolidated document library with entity, trip, service and financial scopes. Files can belong to aircraft, crew, customers, passengers or vendors, instead of relying on a shared folder name to explain their purpose.

Find a file and its context

Search, preview, download and tag documents with categories such as insurance, licence, certificate, agreement, training, compliance and invoice. Records can carry their own attached documents, so users do not have to leave the workflow to find the source evidence.

Generate consistent aviation documents

Produce flight briefs, GENDECs, passenger manifests, handling requests, crew tripsheets, fuel releases, invoices and other listed document types from the relevant operating context. Preview generated output, download PDFs and manage versions where supported.

Apply existing permissions and expiry awareness

Read/write permissions apply to document operations. Aircraft and crew certificate views surface validity and expiry indicators, helping staff see which supporting document needs review ahead of an operational assignment.

Under the hood

Organise the documents operations actually uses

Documents belong to the thing they describe

FlightStratix provides a consolidated document library across aircraft, crew, clients, passengers, vendors, trips, services and financial records. Instead of storing everything in a single unsorted folder, teams can inspect a file from the aircraft or trip where it becomes relevant. Tags can distinguish insurance, certificates, licences, contracts, training, compliance, reports, correspondence and receipts. Search, preview, signed downloads and multi-file uploads support day-to-day use.

Generated operational documents are a separate workflow

The document-generation tool supports templates and output types including Flight Brief, GENDEC, passenger manifest, handling request, crew tripsheet, quote, charter agreement, fuel release, dispatch release, FTL compliance report, trip report and invoice. A user selects the relevant record and document type, previews the generated version and can download or email it where configured. Recent generated versions can be reviewed or regenerated. The page should distinguish generated document versions from the attached source files that a user uploads.

Personal and technical certificates need clear status

Aircraft records carry airworthiness, insurance, registration and other certificate dates; crew endorsements add medical, licence, type-rating and training evidence. Dedicated status indicators make recorded expiry dates easier to review. FlightStratix supports document status and operating checks, but uploading a document doesn’t certify its authenticity and an expiry badge doesn’t replace regulatory verification. Link to crew qualification tracking and fleet management.

Sharing and permissions matter

The document library is controlled by module permissions. Attached files can be previewed or downloaded using signed URLs, with relevant administrative delete actions. Public links exist for selected customer-facing records such as quotes and invoices, but the removed public crew-profile sharing flow should not be advertised as a feature. External guest access should be described by the specific portal workflow that actually exists.

Connect records through the full operation

A trip can show linked permit files, supplier correspondence, aircraft and crew evidence, journey log and invoice attachments. The benefit is traceability: a dispatcher or account manager can open the relevant record instead of guessing which shared-drive folder contains the approved copy. The website should explain these concrete links and avoid claims of universal OCR, automated contract review or certified document retention rules without verified functionality.

Operational detail

Make the source record easy to find.

Give documents an operational home

A crew certificate, aircraft record and trip brief have different owners and uses. Attach each file to the relevant record so the person reviewing an assignment or trip can find the evidence without searching a separate shared folder.

Connect crew qualifications

Generate documents from current trip data

Before preparing an operational document, review the itinerary, crew and passenger information on the trip. Keeping the document linked to that source makes subsequent changes and handovers easier for the next coordinator to follow.

Real-world scenarios

See it in context

Scenario

Preparing documents for an international trip

An operator opens a confirmed trip, checks aircraft certificate status and the assigned crew’s relevant credentials, retrieves the permit documents attached to the correct leg and generates a GENDEC and handling request. The team can preview and distribute the new outputs while keeping the trip, crew and supplier records linked. Read more about Flight Support.

Operational example

An operational example

A crew medical is approaching expiry and a dispatcher is preparing the next trip. The crew record shows a warning; the controller opens the attached certificate to check its validity. Separately, the trip coordinator generates the passenger manifest from current trip details rather than rebuilding it in Word.

Records and handoffs

Record type → linked documents → status/expiry → preview or generation → controlled distribution.

Scope

Keep aviation documents linked to trips, crew, aircraft and operational records. Your approved document-control, signature and regulatory-filing procedures remain authoritative.

Frequently Asked Questions

Are documents stored in one general folder?

The consolidated library provides several record scopes, and files can be attached directly to the relevant entity or trip.

Does FlightStratix generate PDFs?

The Trip Support and Operator references list context-based document generation with preview, download and email actions, subject to configuration.

Can documents be attached to different aviation records?

Yes. The references describe document components across multiple products; the exact supported scope differs by product and user permissions.

Does generated documentation certify legal or regulatory compliance?

No. Generated documents reflect recorded information and configured templates. Operators must validate required content and regulatory acceptance.
