Crew Qualification Tracking Software
Know which documents and qualifications need attention.
Keep aviation licences, medicals, type ratings, training and other endorsements with the crew record. FlightStratix provides current, expiring and expired indicators so managers can review qualification and document status before planning an assignment.
A roster cannot solve an expired qualification
Crew availability is not only about having a free day. Operators also need to consider type qualifications, licences, medicals and training currency. Give those checks a record that the rostering and operational teams can review.
Built around the way you work
Each capability is part of the connected FlightStratix workspace.
Licence and medical records
Store document details, issue/expiry dates, supporting files and expiry indicators against the crew profile.
Ratings and endorsements
Record aircraft type, seat qualifications, checks, recurrent training and the relevant verification and status fields.
Currency dashboard
Filter crew by status, role and base; expand individual records to see the credential and expiry detail.
Connected planning context
View qualifications beside crew scheduling and assignment checks, reducing the need to cross-check multiple independent lists.
From start to finish
Crew licence, medical, endorsement and expiry visibility
Give crew planners a current credential picture before an expired record becomes an assignment problem.
A clear record of licences and medicals
Maintain licences, certificates, ratings, issue/expiry dates, issuing countries and attached evidence against the crew member. Statuses distinguish verified, pending, expired, suspended and rejected records instead of relying only on a document filename.
Cover operational endorsements
Track type ratings, seat qualifications, OPC, LPC, line checks, CRM, RVSM, ETOPS, PBN, CAT II/III and other named or custom endorsements. Different credentials can carry their own aircraft association and validity.
See currency issues across the workforce
Use the crew currency dashboard to filter current, expiring and non-current staff, inspect individual credentials and focus follow-up work. A 30-day expiring indicator is available in crew details, alongside certificate status pills.
Connect credentials to assignment planning
Crew planners can consider documents and endorsements alongside availability and FTL. Some feasibility and crew-assignment checks read this data; no marketing copy should claim that every regulator-specific check has been externally certified.
Keep qualification evidence next to crew assignments
A crew profile contains more than a passport expiry
Crew records can hold identity, base, role, contacts, passports, visas, total flight hours, type-rating tags, relevant cabin training, medical and document files. The qualification/endorsement ledger adds credential numbers, issuing country, relevant aircraft type, seat eligibility, issue/expiry dates and supporting documents. These fields let the operations team understand which credentials exist and when attention is needed without searching multiple scanned folders.
Track both verification state and validity state
An endorsement can be unverified, verified or rejected, while its operational status may separately be active, expired, suspended, pending or archived. That distinction matters: a document with an expiry date in the future is not automatically accepted as verified by the organisation. The crew currency dashboard displays current, expiring and non-current states and lets coordinators inspect the specific credential that needs action.
Different records support different operating approvals
Examples include flight crew licences, medicals, type ratings, radio operator permissions, recurrent training, route checks, OPC/LPC/line checks, CRM, dangerous goods, RVSM, ETOPS and CAT II/III. The system can store these endorsement categories and their evidence. It should not claim to independently verify every authority database, determine universal licence validity or certify regulatory compliance in all jurisdictions. The operator remains accountable for verification and applicable rules.
Connect status to planning without claiming identical engines
Crew control uses qualification, base, availability and currency information when identifying possible replacements and showing coverage. Crew roster workflows can surface FTL warnings before publication; the trip feasibility process also considers documents, type ratings, recency and aircraft assignment. Qualification tracking and FTL are complementary but not identical: this page should link to flight duty tracking rather than trying to rank for its generic duty-time keywords.
Training and portal records support follow-up
The crew planning workspace maintains a training matrix, schedule/completion statuses and upcoming or overdue courses. Crew portal access can expose personal documents and assigned duties, subject to permissions. Credentials have status indicators and can be refreshed manually in the currency dashboard. Describe the visible user actions instead of promising continuous regulator-sourced verification or email alerts for every credential type without a live confirmation.
Turn expiry dates into a reviewable crew record.
Keep evidence with the crew member
A document date is more useful when the supporting file, qualification and crew member can be reviewed together. Use the record to identify missing or expiring items and organise the follow-up before the next assignment is planned.
Explore record-linked documentsReview qualifications alongside duty status
Qualification tracking supports assignment decisions, while duty tracking addresses a different question: whether the proposed duty fits the configured limits. Review both records when preparing a crew assignment rather than treating a valid document as a complete release decision.

See it in context
A pilot's medical is expiring before a planned trip
A coordinator opens the currency dashboard and sees the pilot flagged as expiring. The underlying medical row provides its recorded expiry and attached evidence. Crew control can review whether a replacement is needed before the planned duty, while the qualification holder updates the document and its verification state. The system surfaces the issue; a responsible person determines fitness and legal eligibility.
An operational example
A roster is being prepared for a charter operation. The crew controller sees that a pilot's medical certificate expires before the proposed mission. They open the credential, check the attached document and update the record when replacement evidence is verified before reconsidering assignment.

Frequently Asked Questions
Can we track different types of crew qualification?
The reference includes licences, medicals, type ratings, checks, recurrent training and custom endorsements.
Does a green badge certify regulatory compliance?
No. The indicators reflect recorded information and configured checks; operators remain responsible for data accuracy and their applicable requirements.
Can I distinguish an expired licence from a pending verification?
Yes. Credential statuses and verification states are separate and can be viewed from the crew record.
Is qualification tracking the same as FTL?
No. Qualification tracking manages credentials and currency; Flight Duty Tracking handles worked hours, duty periods, rest and limitations.
