FBO Billing Software
Bill the work your station actually delivered.
Bring fuel tickets, parking bookings, ground-service charges and accepted quotes into one FBO billing queue. Prepare customer invoices with the original aircraft and service records still available for review.
The invoice should follow the operation
If a fuel ticket is still open or a parking booking has not been closed, accounts needs that context. FlightStratix keeps charge sources visible and separates draft work from items ready to invoice.
Built around the way you work
Each capability is part of the connected FlightStratix workspace.
One queue for eligible charges
Review finalised fuel, closed parking, confirmed services and accepted unbilled quotes, grouped by source and customer.
Clear customer and currency context
Select compatible items for one customer and currency, see a running total and create the invoice from those entries.
Track additional station charges
Enter service rates, quantities, taxes and linked movement information for relevant services.
Review unbilled work
Use FBO dashboard indicators and invoice statuses to identify fuel and parking activity not yet invoiced.
From start to finish
FBO charges, traceable back to every completed service
The person sending an invoice should see exactly which movement, fuel ticket or task produced every charge.
A billing queue tied to operational sources
Select finalised fuel tickets, closed parking bookings, confirmed service charges or accepted quotes from the documented billing sources. Ineligible or unfinished records remain outside the ready-to-invoice selection, so staff can distinguish delivered work from work still under review.
Keep customer and currency consistent
As charges are selected, the billing interface anchors them to the same customer and currency. This reduces accidental mixing of line items from different aircraft visits or customer accounts while preparing a single invoice.
Capture station extras without losing context
Add or edit service charges with quantity, unit, price, tax, customer, movement and tail reference. Connect rates to the station service catalogue, covering handling, towing, GPU, cleaning, parking, de-icing and other billable work.
Find unbilled activity before it ages
The FBO dashboard exposes unbilled fuel and parking indicators, while the billing queue groups candidate sources. Admin-only auto-invoice settings exist for fuel tickets; do not imply all charge categories are automatically invoiced without review.
What makes an FBO invoice traceable
Every charge should have an operational origin
The FBO invoice builder can gather finalised fuel tickets, closed parking bookings, confirmed service charges and eligible accepted quotations. Instead of asking accounts to price a visit by reading a handwritten service sheet, the billing team can inspect the underlying record and select the source item. The invoice is assembled from delivered or accepted work, so the commercial review starts from operational evidence rather than someone's memory of the shift.
Bill the right customer in the right currency
The builder applies a selection anchor: selected sources must belong to the same customer and currency. The user sees a running total, can group by customer and can review the selected charges before generating an invoice. This check matters for FBOs dealing with transient aircraft, operators, management companies and different payment currencies in the same working day. It is not equivalent to automatic foreign-exchange conversion or payment settlement.
Avoid missed or duplicated ramp charges
The ramp task workflow includes a 'Bill task' action that links a chosen service rate and quantity to a new charge. A task that has been charged is marked accordingly, helping staff avoid repeating the same action. Separately, a fuel ticket moves through finalised and invoice-related states; parking bookings carry open, closed and invoiced states. The unbilled fuel and parking indicators provide a place to look for completed activity not yet carried into accounts.
Use service catalogues rather than free-text rates every time
The FBO service catalogue records codes, service names, qualifications, required equipment, billing descriptions and tax treatment. Rate cards cover handling, marshalling, GPU, ASU, ACU, lavatory, water, transport, parking and hangar services, with units such as movement, hour, day, night, service and passenger. Quotations have their own draft, sent, accepted and invoiced states. The page should say that users can configure and review these inputs, not imply that all tax rules or station contracts are generated automatically.
Keep corrections visible when the original service changes
Operational records for visits, movements, parking, fuel releases and tickets include correction dialogs that require reasons. Billing personnel can review the relevant source when a fuel quantity or parking period needs correction. The system can make a dispute easier to investigate, but it does not by itself establish automated dispute resolution or accounting integration with every finance package. Build the invoice from the station record.
Review the work that was actually delivered
Bring fuel, parking and handling activity into the billing review with their movement context intact. Check incomplete items and source records before treating an expected service as a final charge.

A billing query is easier to investigate when the ticket or booking can be opened directly. Use the operational record to review quantity, duration and pricing context with the station team before completing the invoice.

See it in context
One departure, three charge sources
A customer departs after two nights on the ramp, a Jet A-1 uplift and GPU service. Parking is closed, the fuel ticket is finalised and the ramp charge is confirmed. Accounts selects three eligible records for the same customer/currency, reviews the total and builds one FBO invoice. The resulting invoice has traceable source work, not manually reconstructed line items.
An operational example
A customer's aircraft departs after two nights and a fuel uplift. The fuel ticket is finalised, parking is closed and ground-service charges are confirmed. Finance selects the three eligible items for the same account, checks tax and currency, and creates the invoice while keeping links back to each operational source.

Frequently Asked Questions
Can one invoice include fuel and parking?
Yes. The billing builder supports eligible fuel tickets, parking bookings, service charges and quotes, subject to customer and currency checks.
What prevents duplicate task charges?
The Ramp Tasks billing action marks a task as charged and the interface hides duplicate Bill actions, as documented in the FBO reference.
Can fuel and parking go on one invoice?
The invoice builder can combine eligible sources when they belong to the same customer and currency.
Is FBO Billing the same as the general aviation invoicing feature?
No. This page covers charges arising from FBO visits, fuel tickets, parking and ramp services; general aviation invoicing has its own existing page.
